Why we need your information
The data on this form is being gathered for the purpose of assessing your suitability for the post you are applying for. If you are successful in securing employment the information provided will be transferred to your personnel file.
The information you have provided to us will be used alongside additional information obtained from external systems to assist with your application, e.g. for proof of qualification/membership, references, medical and criminal records information at appointment stage. We may need to share some of your personal information with these external bodies for them to do what is asked of them.
We consider that it is in the legitimate interest of Hertfordshire County Council to process your information for these purposes.
If you are offered a job with us, we will contact you to obtain your current and or most recent employer(s) contact details to request references.
If you work/ have previously worked for Hertfordshire County Council and are successful in being offered a job with us, we reserve the right to seek a reference from your current / previous manager(s) as part of your pre-employment checks.
Our legal ground to request references is that it is in our legitimate interests to ensure we employ suitable individuals.
If at the referencing stage we contact you, you have concerns about us seeking a reference please ensure you inform your Recruiter who requested the information, or alternatively email HR.RecruitmentOrders@hertfordshire.gov.uk. You should do so within 48 hours of being advised by us that we intend to seek a reference. If you do not contact us we will proceed to seek a reference.
How long we will keep your information
If you are unsuccessful in your job application at any point in the process or withdraw, we shall hold your job application and other information supplied and any notes made by ourselves on our file for a period of 6 months after the date of your application. If your account remains inactive for a period of 6 months, it will automatically be closed.
If you are successfully appointed as an employee with Hertfordshire County Council your information will be transferred to your employee personnel file.
What are your rights?
Hertfordshire County Council will be the Data Controller for this information.
You have a number of rights over the data we collect and hold about you.
•You have the right to be informed about what information we hold about you and
how we use it.
•You have the right to request copies of any information the Council holds about you by making a Subject Access request.
•If information we hold about you is factually inaccurate, you have the right to have it corrected.
•You have the right to object to the way we are using your data.
•You have the right to request that your data is deleted. However, we may be unable to delete your data if there is a need for us to keep it. In this case you will receive an explanation of why we need to keep the data.
•You can also request that we stop using your data while we consider a request to have it corrected or deleted. There may be some circumstances in which we are unable to do this however we will provide an explanation if this is the case.
•In certain circumstances you may also request data we hold about you in a format that allows it to be transferred to another organisation.
•In the event that decisions are taken using automated processes you have the right to request that these decisions are reviewed by a member of staff and to challenge these decisions.
If you would like to request copies of your data, request that your data is deleted or have any other queries in relation to data which the Council holds about you please contact the Data Protection Team.

However, before you do so you must complain to us and give us the opportunity to address your concerns.
Accuracy of Information
By submitting your personal data, you declare that all the information provided is true and that you have not canvassed a County Councillor or Officer of the Council directly or indirectly in connection with this application and will not do so. Any such activity, or failure to disclose any personal relationship with a Councillor and/or Officer of the Council, will disqualify your application. If any of the enclosed information within your application is found to be untrue or misleading after your appointment, you may be liable for dismissal without notice.
